Merchant Portal Overview

HeidiPay's Merchant Portal is a platform designed for your business needs. Here you can:

  • Manage transactions including initiating refunds & disputes
  • Create payment plans for HeidiPay instore & phone sales
  • View & download settlement reports for reconciliation
  • Access your API keys
  • View detailed transaction analytics to monitor the impact on your sales
  • Update company information & bank details
  • Manage users & permissions

If you would like to be added as a new user, contact your company's Merchant Portal Superadmin.

How to log into the Merchant Portal

The Merchant Portal is available in the sandbox test environment and the live environment. The sandbox environment is for development and testing. You receive the credentials for both portals during onboarding by email.

Merchant portal access (live environment)

  1. Go to your Merchant Portal
  2. Log in with the username and password you received by email

Test merchant portal access (test environment)

  1. Go to Sandbox Test Merchant Portal
  2. Log in with the username and password you received by email

If you haven’t received your credentials, please contact us here.
If you don’t remember your password, click on “Forgot your password?” and you’ll receive a link by email to reset your password.

Accept payments in store or by phone

You can accept payments instore or by phone from any mobile phone, tablet, computer or directly from the POS system in your store. All you need to do is to:

  1. Log into your HeidiPay Merchant Portal
  2. On the left navigation bar, go to "Create a new plan"
  3. Enter order & customer details

After clicking "Continue" a link will be sent to your customer's mobile phone, directing them to HeidiPay's checkout.

Review and manage your orders

In the "Orders" section in your Merchant Portal you have an overview of all your orders.

Here you can:

  • Click on a order to give you a detailed view of the selected order
  • Initiate a refund by clicking on "Refund" on the top right side
  • To log a dispute, contact us here.

Getting paid

HeidiPay aggregates all of your transactions over 7 days and transfers the full amount through a weekly settlement to your bank account. This transfer of funds is made up of the sales within that period, including any deductions such as refunds, HeidiPay fees and chargebacks. For each payout, a settlement report is created which you can access and download in the “Settlement” section in your Merchant Portal.

Update your organisation information

This section allows you to edit your company details. Click on "Edit" on the top right side if you want to edit the following company details:

  • Legal company name
  • Display name
  • Registered address
  • VAT number
  • Industry
  • Preferred colour code: Enter your company's colour code for a customised checkout experience

Manage users

This section allows you to manage the users in your organisation that have access to the HeidiPay Merchant Portal.

Users can be assigned the role of a Superadmin, Admin or Sales Assistant. Only Superadmins have access to the "Users" page and thus can add, edit, and remove users and control permissions of users.

Manage your account

Navigate to "Account settings" if you want to change your personal details or password.

  • Click on "Edit" to change your name or phone number. If you need to change your email address, please send your email change request to [email protected]
  • Click on "Change password" to change your password
